Position Summary/Purpose of Position:
This position is located at the University of Maryland Extension office in Frederick, Maryland.

Under general supervision, provides moderately complex administrative, secretarial and clerical support to assigned faculty. Work requires thorough knowledge of the organization and programs where assigned and involves moderate participation in the work of the supervisor and staff. Incumbents have responsibility for office operations and function independently where procedures have been established.
This position reports directly to the Area Extension Director.
Minimum Qualifications:
Education:
High School Diploma or GED.

Experience:
2 years experience providing administrative support.

Required Knowledge, Skills, and Abilities:
    • General knowledge of and skill in the practical application of generally accepted office practices and procedures.
    • Ability to communicate effective both orally and in writing.
    • Ability to proofread and edit written documents. Skill in various computer software packages, such as word processing, spreadsheets, database, and presentation programs, Internet, email and calendaring software.
    • Ability to understand and follow oral and written instructions.
    • Ability to interact effectively with internal and external parties in a courteous and efficient manner.
    • Ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions.

 

 
Other:
Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

Additional Information:
Job Responsibilties:
  • Screens telephone calls and visitors, taking care of routine matters. Answers inquiries following general instructions and departmental procedures.
  • Schedules and coordinates meetings and appointments of assigned educators. Calls attention to appointments and assembles background materials. May attend meetings and prepare notes as requested.
  • Gathers and consolidates data for reports on the basis of general instructions.
  • Composes responses to routine inquiries in accordance with general instructions of assigned staff. Reviews and edits outgoing correspondence for format, typographical and grammatical accuracy, and conformance with procedures.
  • Prepares and reviews newsletters, manuscripts, correspondence, charts, forms and other materials from copy created by others using automated office equipment. Proofreads materials for accuracy and clarity.
  • Ensures confidentiality of information. Relays messages and instructions between supervisor and others, exercising independent judgment and initiative where guidelines and procedures have been established.
  • Supports office by using automated equipment such as personal and networked computers and printers, copy equipment, voice messaging and electronic mail systems, and telephone equipment.
  • Maintains the volunteer tracking system and volunteer background check notifications including meeting deadlines.
  • Other duties as assigned.

Physical Demands
  • The position will frequently exchange information through verbal and written communication, with individuals of various ages, socio-economic, and educational backgrounds.
  • Visual acuity is required to review and/or analyze written reports, spreadsheets, data and figures for accuracy. This position will also research information and prepare written materials and presentations for annual reports, budget presentations, and/or Advisory Council or staff meetings. Extensive viewing of a computer screen is normal.
  • Ability to lift and carry small parcels, packages, and other items (up to 20 lbs.) between offices.
